Integrations are a feature only available to users on the Premium and Business Pro plans.

 

What Does the Integration Do?

Guesty is a property management software that consolidates your accounts from multiple platforms into one simple dashboard. Integrating your Guesty and Keycafe accounts allows for key access codes and instructions to automatically be created and sent to your guests when a booking is created in Guesty.

 

Integrating Your Guesty Account

  1. Log into your Guesty account.
  2. Click the Integrations icon at the top right, then Guesty Marketplace, then the Home automation category.
  3. Select Keycafe and click Connect at the top right, then copy the Integration Token.
  4. Log into your Keycafe account.
  5. Select Add, then Integration.
  6. Select Guesty.
  7. Enter the Guesty API token and click Connect with Guesty to proceed.

Done!

Now your Guesty account is integrated with Keycafe. Select Integrations from the left side menu to view your integrated Guesty account.

 

Associate a Keycafe Key with Your Guesty Listing

  1. Select Integrations from the left side menu to view your integrated Guesty account.
  2. Select the connected Guesty account you wish to manage.
  3. Select the Properties link.
  4. From the list of properties select the key icon.
  5. Search for the name of the key you want to associate to this listing and select the key from the drop down list.
  6. Select the blue Link button from the Link Key pop up window.
  7. Select the gear icon to set your integration preference for this key.

There are two options:

  • Automatic: Any time there is a new reservation made for this property in Guesty, a Keycafe booking for the key is created and your guest will automatically be sent access instructions (via email from Keycafe) for the keys according to your preconfigured settings.
  • Prompt: Any time there is a new reservation for this property, you will be prompted via email to confirm if the guest should receive access to the keys and customize the settings for the booking.

 

Automatic Option

There are a few configuration options for you that you can set for each individual key. 

  • You can choose to send the access code either by Email or SMS depending on how you grant the access.
  • You can also request that Keycafe sends a reminder Email or SMS to the guest to return the keys to the Keycafe SmartBox at the end of their key access duration. 
  • You can specify up to two languages that the guest will receive access instructions in.
  • You will need to send them the Keycafe location address and hours in a separate email.

Note About Access Start and End Times

Please note that the check-in and check-out times on your Guesty listing are NOT automatically set as the access start and end times for your key. To set the default access start and end times for your key (ie. to make them match the check-in and check-out times), see Editing a Key's Information.

Prompt Option

Once a reservation is made for the linked Guesty listing, you will receive an email that contains a direct link that will allow you to approve the booking and decide how you want to send the instructions. 

  1. Select the link "Click to Create a booking for this Visitor”
  2. The reservation information is auto-completed, select Create booking to proceed.
  3. Review the auto-completed information about your access and select Add.
  4. Note the access information and select Okay.
  5. You will need to send them the Keycafe location address and hours in a separate email.

Create a Manual Key Access for Your Guesty Guests

If necessary, you can also create access manually. To create an access from your Keycafe dashboard, please proceed with the following steps:

  1. Log into your Keycafe account.
  2. Select Integrations from the left side menu.
  3. Select the Guesty account you would like to manage.
  4. Select Properties to view the list of available properties.
  5. Select the Reservations icon next to a property to view the list of upcoming reservations associated with it.
  6. Select the plus sign next to the reservation you would like to create an access for.
  7. The reservation information is auto-completed. Select Create booking to proceed.
  8. Select the key that is linked to your listing.
  9. Review the auto-completed information about your access and select Add.
  10. Note the access information and select Okay.
  11. You will need to send them the Keycafe location address and hours in a separate email.

Note

No accesses will be created for the bookings made prior to you integrating your Guesty account.

 

Guesty Communication

As part of the Guesty integration, the Guesty hosts will be receiving updates regarding the important events and access details. The following updates will be accessible from Guesty's inbox:

  • Booking instructions including your guest's booking code and URL link. This can be sent to the guest if necessary.
  • The location from where the key is picked up by your guest.
  • The location from where the key is dropped off by your guest.
  • Booking cancellation note.

Updating or Cancelling the Guesty Reservation

Updating or canceling the original Guesty reservation will also update or cancel the key access linked to your reservation.

Co-Hosting Workaround

The integration does not support co-hosted accounts. However, if you obtain the Guesty login credentials from the account you are co-hosting, you can use these credentials to connect to the account directly allowing you to manage key access from your Keycafe account.

 

Disconnecting your Guesty Account

  1. Log into your Keycafe account.
  2. Select Integrations from the left side menu.
  3. Select the Guesty account you would like to disconnect.
  4. Select About Integration.
  5. Select Disconnect.
  6. Select Confirm to disconnect your Guesty account.
