The Billing page

The billing page is where you can check your account credit, add your payment method and view your invoice. To access the billing page:

  1. Click the user dropdown at the top near the right side and select My Account
  2. Select Billing.


SmartBox pricing

We offer pay-per SmartBox pricing with multiple plans to fit your needs. Visit Keycafe Enterprise for SmartBox prices.


Plan pricing

If you choose an annual plan, device subscriptions are paid a year upfront and each device is on its own annual billing cycle based on the date it was first activated. Downgrades and upgrades between plans and billing cycles are each unique situations that are handled in different ways. If you do not want to pay by credit card or want to only pay once per year, you can purchase upfront credit to fund the recurring invoices.


Monthly Billing

You will be billed once a month for the previous 30 days of active device use. Devices must be on to be billed, so you will only be billed for each device that communicated with our server during the 30 day period.


Annual Billing

Each device is on its own billing cycle, so if you purchase new SmartBoxes, they will begin their annual cycle when activated. The plan renewal for each individual SmartBox is 12 months after the initial invoice date.


Risk-free trial

For all new customers, Keycafe offers a 45 day risk-free trial on our products and services. During this period, you are free to test the SmartBox device and different plans without being charged. You can also send back your device for a full refund.

After the trial period, you will be charged in arrears according to the payment schedule you have chosen (monthly or annual).


Viewing billing information

To view your plan, billing period, account credit, and payment method, proceed with the following steps:

  1. Click the user dropdown at the top near the right side and select My Account
  2. Select Security.
  3. Select Billing, then Billing Settings.


Updating payment details

  1. In the Billing section of your account, select Billing Settings and enter your credit card information.
  2. Select Save.


Viewing invoices

  1. In the Billing section of your account, select Invoices.
  2. Select the arrow icon next to the invoice you would like to open.



Paying an invoice

  1. In the Billing section of your account, select Invoices.
  2. Select the hand icon on the right side of the invoice you would like to pay.
  3. Enter your credit card information and select Pay [Amount].



Redeem a coupon

  1. In the Billing section of your account, select Coupons.
  2. Enter your coupon code and select Redeem. The credit will be added to your account.


Upgrade or downgrade your plan

If you'd like to downgrade your plan from Premium to Lite, ensure you have removed all Premium features first.

  1. In the Billing section of your account, select Plans & Pricing.
  2. Select Private SmartBoxes for Businesses.
  3. Select Upgrade to Premium or Downgrade to Lite, then Confirm.


How to pause billing

If you'd like to stop billing but keep your account active for future use, unplug all SmartBoxes. You will receive one last monthly invoice and thereafter billing will pause as long as your SmartBox is powered off.

Ensure the reset button is not pressed, as this will wake up your SmartBox using the backup battery and resume your billing.

Alternatively, you may choose to unlink your SmartBox from your location so that even if the reset button is pressed, your account will not be charged. To do so, you must first remove all keys from the SmartBox. See Unlinking a SmartBox for more details.

Unlinking a SmartBox and your data

Unlinking a SmartBox from a location will not affect any of your data. All keys, users, bookings, groups, and key access history will be intact after unlinking a SmartBox.
