Integrations are a feature only available to users on the Premium and Business Pro plans.

What Does the Integration Do?


Mews is a hospitality management software for hotels and other hospitality providers. Using the Mews integration with Keycafe allows for key access codes and instructions to automatically be created and sent to your guests when a reservation is created in Mews. Guests can then arrive at the property at their check-in time and independently retrieve their keys at a SmartBox.

 

Managing Multiple Hotels

A Keycafe user can integrate with one Mews account. If you manage multiple properties in multiple Mews accounts, you will need multiple Keycafe users (for example, the General Manager of each hotel). We suggest creating a separate Keycafe Organization for each property so their keys, bookings, and users are independently managed.

How to Set Up the Integration


1. Add Keycafe Integration to Mews

  1. Follow the steps from Mews to add the Keycafe Integration to your Mews account.

 

2. Generate a Mews Access Token

  1. Follow the steps from Mews to create an access token.
  2. Keep this tab open, or copy the access token and paste it into a document.

 

3. Link Your Accounts

  1. In your Keycafe dashboard, select +Add → Integration Mews.
  2. Enter your Mews Access Token then click Submit.

 

Associate a Keycafe Key with Your Mews Space


Add Mews Space ID Number to Keycafe Key

Your Mews Space ID is used to identify the associated key in Keycafe. If you have multiple spaces and multiple keys, this must be done for each pair.

  1. In your Mews dashboard, select the Main Menu → Settings → Property → Space configuration → Spaces.
  2. Select a Space, then copy the text string in the url after "/Detail/". In this example, the Space ID is

  1. In your Keycafe dashboard, select Keys, then the key for the listing. If you have not yet created the key for the listing, see Adding a Key to do so.
  2. Select About Key → Edit, then enter the Space ID Number in the External ID field and click Save.

Add Keycafe Tag to Your Mews Space

To ensure precise control over which spaces or rooms are included in the Keycafe integration, you must now add the required "keycafe" tag using the Space features function in Mews.

In your Mews dashboard, select the Main Menu → Settings → Services → Stay → Space features.

  1. Click the + icon at the top right to add a new Space feature.
  2. Enter a name for the Space feature that describes the tag you are adding, such as "Keycafe Tag".
  3. In the Description field, enter "keycafe". If you are adding translations, it's important that the tag is entered in the English (United States) Description field.
  4. In the Spaces dropdown, select which spaces you'd like to include in the integration.
  5. Click Create to complete.

 

Add Custom Settings

The "keycafe" tag can be edited to include some additional settings for your integration:

  • -sn (Suppress Notifications): If you'd prefer to only send an email to your guest with the Keycafe key booking code and instructions through Mews or another platform, you can disable the automatic Keycafe email by adding "-sn" to the tag. The full tag then becomes "keycafe-sn".
  • -pc (PIN Code): For Mews API users, the PIN code field will be populated with the Keycafe booking code. This field is not visible in the regular Mews dashboard. The full tag then comes "keycafe-pc".
  • -oc (On Check-in): If you'd prefer the Keycafe booking to only be created when the guest has been marked as checked-in on Mews, you can delay the booking creation until check-in by adding "-oc" to the tag. Please note there may be a 1-2 minute delay after check-in for the key code to become active. The full tag then becomes "keycafe-oc".

Adding Multiple Tags

If you'd like to use multiple of the custom options, you can combine the tags in any order. For example, to both suppress notifications and populate the PIN code field, use the tag "keycafe-sn-pc" or "keycafe-pc-sn".

 

Using the Integration


When a Reservation is created in Mews, a Keycafe one-time booking for the associated key will be automatically generated with the same start and end date/time as the reservation's check-in and check-out. The Keycafe booking code will be added as a note in the Mews reservation.

Any changes to the reservation in Mews will be reflected in the Keycafe booking, including time/date changes and a cancellation of the reservation. Please allow for 1-2 minutes for new reservations and changes to show up in the Keycafe booking.

The booking code and instructions to access the key at your SmartBox are then automatically sent to the guest by email.

Note that the email does not specify where your SmartBox is located, so you will need to separately let your guest know where it is.

 

Editing a Reservation's Space


If you change the Space of a reservation in Mews, a new Keycafe booking will be created for the new space's associated key (assuming the Space ID has already been linked to a Keycafe key), and the original booking will be revoked. A new note will also be added to the Mews reservation with the new Keycafe booking code.

 

Disconnecting Your Mews Account


  1. In your Keycafe dashboard, select Integrations Mews About Integration Disconnect.
  2. Click Disconnect to confirm.
