About Field Swaps
Field Swaps is a feature that allows the current Keyholder of a key to transfer custody to another user without first returning the key to the SmartBox. This can be used in a variety of situations, such as two drivers switching vehicles at a job site.
Field Swaps can be performed by any Keyholder with Continuous Access permission or above for the key. Organization Admins can perform a Field Swap for any key in the Organization, regardless of whether or not they are the Keyholder.
Handshake Field Swaps
Handshake Field Swaps is an Organization-level security setting that requires Field Swaps to be confirmed by a code that is sent to the new keyholder and entered by the current keyholder (the user receiving the key must share the code with the user giving the key). The code is sent via SMS, but if it fails to deliver for any reason, an email will be sent instead. Organization Admins are exempt from this requirement and can perform field swaps without the code.
To turn on this setting:
- In the Keycafe desktop app, navigate to Settings → Security.
- Toggle on the Require Handshake for Field Swap setting.
Desktop-Only Setting
The Handshake Field Swap setting can only be managed on the desktop app.
How to Perform a Field Swap
- In the Keycafe desktop or mobile app, navigate to Keys → name of a key → Field Swap.
- Enter a name for the New Keyholder and select the user from the dropdown.
- Select Confirm Swap.
- If Handshake Field Swaps is enabled in your Organization, ask the new keyholder for the code that was sent to them and enter it in the pop-up to complete the Field Swap.
