What Does the Integration Do?

Airbnb is a property rental platform that allows you list, manage, and earn money on your space by providing accommodation for travelers. Integrating your Airbnb and Keycafe accounts allows for key access codes and instructions to automatically be created and sent to your guests when a booking is created in Airbnb.

Integrating Your Airbnb Account

Log into your Keycafe account.
Select Add.
Select Integration.
Select Airbnb.
Make sure you are logged into your Airbnb account. Select Connect with Airbnb to proceed.
You will be asked to allow Keycafe to access your basic profile information, upcoming reservation details, and your listings. Please note Keycafe does not get access to your Airbnb account or learn your password. Select Allow to proceed.

Multiple Airbnb Accounts

For users managing multiple Airbnb accounts, they can all be added to a single Keycafe account and configured as needed. Keep in mind each Airbnb account needs to be logged in before connecting to Keycafe.

Associate a Keycafe key with Your Airbnb Listing

Select Integrations from the left side menu to view your integrated Airbnb account.
Select the connected Airbnb account you wish to manage
Select the Properties link
From the list of properties select the key icon
Search for the name of the key you want to associate to this listing and select the key from the drop down list.
Select the blue Link button from the Link Key pop up window
Select the gear icon to set your integration preference for this key

There are two options:

Automatic: Any time there is a new reservation for this property, your guest will automatically be given access to the keys according to your preconfigured settings.
Prompt: Any time there is a new reservation for this property, you will be prompted via email to confirm if the guest should receive access to the keys and customize the settings for the booking.

Automatic Option

There are a few configuration options for you that you can set for each individual key.

You can choose to send the access code either by Email or SMS depending on how you grant the access.
You can choose to send the access code inside the Airbnb app messenger.
You can also request that Keycafe sends a reminder Email or SMS to the guest to return the keys to the Keycafe SmartBox at the end of their key access duration.
You can specify up to two languages that the guest will receive access instructions in.
You will need to send them the Keycafe location address and hours in a separate email or in Airbnb Messenger

Note About Access Start and End Times

Please note that the check-in and check-out times on your Airbnb listing are NOT automatically set as the access start and end times for your key. To set the default access start and end times for your key (ie. to make them match the check-in and check-out times), see Editing a Key's Information.

Prompt Option

Once a reservation is made for the linked Airbnb listing, you will receive an email that contains a direct link that will allow you to approve the booking and decide how you want to send the instructions.

Select the link "Click to Create a booking for this Visitor”
The reservation information is auto-completed, select Create booking to proceed.
Review the auto-completed information about your access and select Add.
You can select to have the instructions sent to your guest via their Airbnb Messenger to ensure they receive the booking number and details.
Note the access information and select Okay.
You will need to send them the Keycafe location address and hours in a separate email.

Create a Manual Key Access for Your Airbnb Guests

If necessary, you can also create access manually. To create an access from your Keycafe dashboard, please proceed with the following steps:

Log into your Keycafe account.
Select Integrations from the left side menu.
Select the Airbnb account you would like to manage.
Select Properties to view the list of available properties.
Select the Reservations icon next to a property to view the list of upcoming reservations associated with it.
Select the plus sign next to the reservation you would like to create an access for.
The reservation information is auto-completed. Select Create booking to proceed.
Select the key that is linked to your listing.
Review the auto-completed information about your access and select Add.
You can select to have the instructions sent to your guest via their Airbnb Messenger to ensure they receive the booking number and details. You will need to send them the Keycafe location address and hours in a separate email.
Note the access information and select Okay.

Note

No accesses will be created for the bookings made prior to you integrating your Airbnb account.

Communicating Using Airbnb Messenger

Co-Host Messaging Permission

For co-host Airbnb accounts to send instructions via the Airbnb Messenger, they must be granted either Full Access or Calendar and Messaging Access by the primary host. If the co-host only has the Calendar Access permission, they will not be able to communicate access instructions to the guest via Airbnb.

You can now send your guest the booking code via the Airbnb Messenger service. We highly recommend using this option as they will always have access to this code during their stay by using the Airbnb App.

If you have already setup your integration, you will first be prompted to allow Keycafe access to write to the Airbnb messenger app. You will only have to do this once.

Your guest will then receive the booking code and booking link inside their Airbnb Messenger App. This will be a very convenient way to ensure your guest will always have access to the code to pickup your keys at the Keycafe SmartBox.

Updating or Cancelling the Airbnb Reservation

Updating or cancelling the original Airbnb reservation will also update or cancel the key access linked to your reservation.

Disconnecting your Airbnb Account

Log into your Keycafe account.
Select Integrations from the left side menu.
Select the Airbnb account you would like to disconnect.
Select About Integration.
Select Disconnect.
Select Confirm to disconnect your Airbnb account.
