Integrations are a feature only available to users on the Premium and Business Pro plans.

 

What Does the Integration Do?

Hostaway is a property management software for vacation rentals and Airbnbs. Using the Hostaway integration with Keycafe allows for key access codes and instructions to automatically be created and sent to your guests when a reservation is created in Hostaway.

 

How to Set Up the Integration

1. Generate a Keycafe API Key

  1. Click the user dropdown at the top right and select My Account > Advanced > API Settings > Generate Key.
  2. Keep this tab open, or copy the API key and paste it into a document. If you exit the page, the code will disappear and you will need to repeat the steps to generate another key.

2. Generate a Hostaway API Key

  1. Follow the steps from Hostaway to create an API key.
  2. Take note of both the Account ID and API Key.

3. Link Your Accounts

  1. In your Keycafe dashboard, select +Add > Integration > Hostaway.
  2. Enter a nickname for the integration, your Hostaway API key, and Hostaway Account ID, then click Submit.

 

Add Webhook to Hostaway

Once you complete the integration setup, you will receive an email containing a webhook URL.

  1. Copy the URL.
  2. In your Hostaway dashboard, select Settings > Integrations, and scroll down to Unified webhooks.
  3. Under Add Webhook, paste the URL and make sure Is enbaled is set to Yes, then click +Add.

 

Associate a Keycafe Key with Your Hostaway Listing

Add Keycafe Tag to Listing in Hostaway

For every Hostaway listing you would like to include in the Keycafe integration, a "Keycafe" tag must be added in the details of the listing. Listings without the tag added will not have bookings automatically created in Keycafe.

  1. In your Hostaway dashboard, select Listings DetailsEdit.
  2. In the Tags field, enter the tag "Keycafe".

Additional Useful Tags

The "Keycafe" tag can be edited to include some additional settings for your integration:

  • Suppress Notifications: If you'd prefer to only send an email to your guest with the key access code and instructions through Hostaway, you can disable the automatic Keycafe email by adding "-sn" to the tag. The full tag then becomes "Keycafe-sn".
  • Store Door Code: If you'd like to automatically store the key's Keycafe booking code in the Door Code field of the Hostaway reservation, add "-dc" to the tag. The full tag then becomes "Keycafe-dc". Note that if this tag is added you manually enter a door code when creating a Hostaway reservation, it will be overwritten with the Keycafe booking code.

Adding Both Tags

If you'd like to both suppress notifications and automatically store the booking code in the door code field, you can use the tag "Keycafe-sn-dc" or "Keycafe-dc-sn".

 

Add Listing ID Number to Key in Keycafe

Your Hostaway Listing ID is used to identify the associated key in Keycafe. If you have multiple listings and multiple keys, this must be done for each pair.

  1. In your Hostaway dashboard, select Listings, then copy the Listing ID Number.

  1. In your Keycafe dashboard, select Keys, then the key for the listing. If you have not yet created the key for the listing, see Adding a Key to do so.
  2. Select About Key > Edit, then enter the Listing ID Number from step 1 in the Internal Notes field and click Save.

Using the Integration

Once a Guest Reservation is created in Hostaway, a Keycafe one-time booking for the associated key will be automatically generated with the same start and end date/time as the reservation. Any changes to the reservation in Hostaway will be reflected in the Keycafe booking, including a cancellation of the reservation. Please allow for 1-2 minutes for new reservations and changes to show up in the Keycafe booking.

The booking code to access the key at your SmartBox is then automatically sent to the guest by email.

Note that the email does not specify where your SmartBox is located, so you will need to separately let your guest know where it is.

 

Disconnecting Your Hostaway Account

  1. In your Keycafe dashboard, select Integrations > Hostaway > About Integration > Disconnect.
  2. Click Disconnect to confirm.
