v4.5.2 - May 25, 2026

• Handshake Field Swaps: A new Organization-level setting that requires Field Swaps to be confirmed with a code that is sent to the new keyholder and entered by the current keyholder.
• Default Booking Language: When creating a one-time booking, the default language for user communication is now set to the booking creator's account language.
• Location Status Alert: A new type of Programmable Alert that alerts users when a Location experiences a power or internet issue.
• Location Name Variable for Key Exchange Alerts: A new variable [LOCATION NAME] has been added for Key Exchange Alerts, which inputs the name of the location a key was picked up or dropped off at.

v4.5.1.1 - April 24, 2026

• Key Pickup and Key Drop Off Email Notifications Discontinuation: The Key Pickup and Key Drop Off email notification options will be removed as of May 1, 2026. Users who wish to continue receiving these emails can create Key Exchange Alerts.
• Programmable Alerts for Lite Customers: Customers on the Lite plan can now create up to 3 Programmable Alerts. Previously, Programmable Alerts were exclusive to the Premium and Business Pro plans.

v4.5 - February 23, 2026

• SCIM Provisioning: Support for the System for Cross-domain Identity Management (SCIM) has been added. Functionality is officially tested for Microsoft Entra ID.

• Key URL Variable for Programmable Alerts: A new variable [KEY URL] has been added for all Programmable Alerts, which inputs a link to view the key being used in the Keycafe app.

v4.4.31 - January 26, 2026

• Org Admin Permission for Removed Users Bug Fix: Users with an Org Admin permission who were then removed were still counting towards the Org Admin plan limit. Removed users will no longer count towards this limit.
• New QR Code Variable for Booking Created Alerts: A new variable has been added for Booking Created Alerts, where you can add the image of the Booking QR Code in the customized message.

v4.4.30 - December 17, 2025

• User Expungement Delay Increase: Scheduling a user to be expunged now has a 30-day delay instead of 14 days.
• Inactive User Expungement Threshold Decrease: The threshold for inactive users being automatically scheduled for expungement has been decreased from 18 months to 12 months.
• Improved Booking Created Alert Variables:
  • A variable has been added for [END DATE], which inputs the ending time and date of the booking.
  • The [USER] variable has been replaced with [GUEST NAME].
  • The [GUEST EMAIL] variable has been replaced with [GUEST CONTACT] , which can be used for either the email address or phone number used for the booking
• Programmable Alerts Formatting: Text can now be separated into separate lines, and date variables will be shown in the format hh:mm, MM dd, yy (eg. 23:30, Jan 15, 2025)
• SmartBox Dismount Unlock Time Increased: When dismounting a SmartBox, the duration the lock will be disengaged has been increased from 5 seconds to 30 seconds. The SmartBox screen will also now show a helpful graphic/countdown showing how much time is left.
• Data Export Time Zone Selector: When doing a data export, you can now select a preferred time zone. The default selection is the user’s detected system timezone.

v4.4.29 - November 20, 2025

• Booking Created Programmable Alerts: A new type of Programmable Alert has been added for when a booking is created. This can be used for sending a custom message to guests, such as SmartBox location or specific check-in instructions.
• Sending Programmable Alerts via Webhook: All Programable Alerts can now be sent via webhook instead of SMS or email.

v4.4.28 - November 6, 2025

• More Timing Options for Programmable Alerts: Programmable alerts can now be scheduled for more timing options between 12 and 24 hours after an event.
• Guesty Listing Search: Users of the Guesty integration can now type to search their listings, instead of scrolling.

v4.4.26 - October 15, 2025

• Audio Disabled for Video Recordings: By default, SmartBox video recordings will no longer record audio.
• Login Method Swap: Users may change their default login method (email and password, Google sign-in, or Microsoft sign-in) in their security settings.

• Edit Key Home Location: Admins and Managers of a key can now manually edit the Home Location.
• Improved Programmable Alerts: A new type of alert is now available for Key Exchanges, where an alert is triggered immediately when a key is picked up and/or dropped off. Existing alerts can now be toggled on and off.

• Reservations and Code Visibility: For Reservation Access users of a key or key group, booking codes to other users' reservations for the same key or key group will no longer be visible. See Permission Roles for more details.

• Co-Admin Renamed to Manager: The Admin (or Co-Admin) permission role for individual keys, key groups, and locations is now called Manager.

v4.4.18 - June 19, 2025

• Apple and Google Wallet for Bookings: Booking notification emails now include the option to add a pass to the user's Apple or Google wallet. The pass contains a QR code that can be scanned at MS5 SmartBoxes, as well as the booking code.

• Reservations Editing: Reservation Access users can now cancel and edit their own reservations.

• Microsoft SSO: New users can now register a Keycafe account using Microsoft single sign-on.
• Reservations: A new feature that requires Reservation Access users to reserve time slots for keys before accessing them.
• Permission Role Changes:
  • A new permission role named Reservation Access, which requires users to self-reserve keys before being able to access them.
  • The Exchange Only role has been renamed to Continuous Access, with no changes to functionality.
  • The View Only role for keys has been discontinued. Existing View Only permissions will remain unchanged, but the role can no longer be assigned.

• Customer Badges: Customers can now link their own NFC-enabled staff badges (eg. MIFARE DESFire EV3 8K) using the Badge Linking feature.
• Maximum Keys: Limit the number of keys a user can have checked out at any given time.
• Field Swaps: Transfer custody of a key to another user without first returning the key to a SmartBox.

• SmartBox Language Selection Icon: For locations with multiple languages enabled, the language selection icon on the SmartBox screen has been changed from a globe to the flag of the currently selected language.
• Airbnb Integration Co-Host Support: The Airbnb integration with Keycafe now supports co-host accounts.
• SmartBox Video Recording Bug Fix: A bug has been fixed that was causing video to not be recorded under certain conditions.
• Location Setting - Default Authentication Method: Select the default screen that appears during user authentication at the SmartBox - PIN code, QR code, or user badge.

v4.4.1 - October 23, 2024

• Retiring Public Network App Key Exchanges: In the Public Network, the Keycafe app can no longer be used to initiate a key pickup/drop off. Attempting to do so will display the user's access code to enter instead.
• Deprecating live key exchange in the API: Due to the removal of app-based key exchanges in the public network, live key exchange is being deprecated in the API.
• Double Booking Warning: When creating a booking that conflicts with an existing booking, there is now a warning shown. The same applies when booking is being edited to a new time that conflicts with an existing booking.
• User QR Codes: At the top left of the Keycafe app, there is now an icon you can tap to display your user QR code, as well as your Global SmartBox Code. This can be used to authenticate at MS5s by scanning at the camera.

v4.4.0.1 - October 7, 2024

• Constant Access Codes for Integrations: Partner integrations that make use of booking codes (such as Fleetio) can now generate the same code for multiple bookings for the same user.

• Offline Key Exchange: Feature that allows users to continue picking up and dropping off keys when the SmartBox is disconnected from the cloud, such as during internet outages.

• Alphabetic User Sorting: Based on user feedback, the list of Users in the Keycafe app will now sort alphabetically by default.
• Organization Admins Bug Fix: A bug has been fixed that previously prevented organization admins from viewing users' checked out keys.
